Evidence of medication signed out on the system

When a resident is sent home, their status is marked as “away,” and their medication is signed out accordingly. Currently, there is no system-generated report available to evidence that medication has been signed out with the resident. As a result, staff are required to manually record this information on paper.

This presents several issues:

  • On the system audit, medication may incorrectly appear as “not given” upon the resident’s return if it is not signed out properly.

  • Staff are having to create weekly audit notes to safeguard themselves and evidence that medication was appropriately signed out.

  • Without an accessible report, there is limited transparency and no formal record of who signed out the medication, when this occurred, and in what quantity.

To ensure safe practice, compliance, and accountability, there is a clear need for a report function within the system. This report should capture:

  • The medication signed out.

  • The staff member responsible.

  • The date and time of sign-out.

  • The quantity issued.

Introducing this functionality would eliminate reliance on paper records, strengthen safeguarding processes, and provide the necessary audit trail for regulatory and clinical governance purposes.
